Case Study: Space Utilization Analysis

The Challenge

Cleveland Clinic was experiencing growing pains. Spanning 11 million square feet over 50 structures and encompassing several city blocks, Cleveland Clinic was facing the integration of several new campus buildings into its world renowned healthcare network. Cleveland Clinic administrators realized the need to gain better control of their space utilization information. Specifically, to address the problem that critical information was not directly accessible to departments that would benefit most from the information.

Advanced Technologies Group, Inc. (ATG) was challenged to develop accurate and accessible facility information, including a robust space inventory database, which would fulfill the Health System’s stringent requirements.

The Solution

In response to the request by Cleveland Clinic, ATG's facility information consultants conducted a thorough on-site survey of all campus buildings and then developed accurate floor plans and room-by-room space utilization information. All the data was initially integrated in CCM Plus™, the AutoCAD™ based back-end of Enterprise Active Visual System™ (AVS) of ATG.

To allow Cleveland Clinic users to have access to the information without requiring CAD or other proprietary software, the information was then interfaced with the web components of the AVS allowing intuitive management and reporting of facility data directly from the Internet. Certain Cleveland Clinic users were also provided with unique passwords to allow online updating of the space data from their computers.

Authorized users can instantly access facility-related information and
run reports over the web without any additional software or hardware.

All of Cleveland Clinic’s objectives were met with no investment in software, hardware, or CAD training. Cleveland Clinic’s vital space and facility information is now centralized and is hosted by ATG, thus eliminating the need for additional resources. Administrators and managers from all departments can now access and utilize accurate and secure space utilization information down to the room level for a variety of functions.

Health System Decision Support Group utilizes the space inventory data for chargeback analysis of shared services, including maintenance, utilities, and others. The Office of Construction Management is using the information for ongoing construction projects and campus-wide master plan initiatives. The Finance Department accurately applies indirect operating expenses to department budgets for Medicare Cost Reports, as required by Centers for Medicare and Medicaid Services.
